People type this into search every day: trip budget calculator.
The usual answer is a single number someone else spent last year. That number does not know your hotel, your flights, or how many people split the bill.
I am not going to invent a national average for a vacation. The trip budget calculator adds the five cost lines you type, then a buffer. The result is a labeled total you can save toward.
This page is a set of worked examples. It is not a booking quote, and it is not personalized financial advice.
Add the five lines, then lift them by the buffer
The calculator uses:
(transport + lodging + food + activities + insurance) × (1 + buffer)
All five lines use the same currency. Trip length includes the arrival day and the departure day. Those are the tool’s assumptions.
The buffer sits on top of the planned total. It is not a sixth spending category you book in advance. Keep it for the fare that moved, the bag fee, or the dinner you did not list.
Fig 1
Five lines, then a lift
The buffer multiplies the planned total. It does not replace any line.
Add transport, lodging, food, activities, and insurance. Multiply by 1 plus the buffer percent.
IRS Publication 463 lists the same kind of pile for business travel: transportation, lodging, meals, and the other ordinary costs of being away. That publication is about deductions. This calculator is about a cash pile. The categories still match.
GSA’s FY 2026 CONUS per diem bulletin is the federal reimbursement ceiling, not a vacation quote. Standard lodging is $110 a night, taxes excluded. Standard meals and incidental expenses are $68 a day. I use those two numbers later as one labeled comparison. They are not this calculator’s defaults.
Example 1: the published $3,225.60 trip
Here are the calculator defaults:
- transport: $650
- lodging: $1,200
- food: $560
- activities: $350
- travel insurance: $120
- travelers: 2
- trip length: 8 days
- buffer: 12%
Planned costs: 650 + 1200 + 560 + 350 + 120 = $2,880.00
Buffer: 2880 × 0.12 = $345.60
Trip budget: 2880 × 1.12 = $3,225.60
Per traveler: 3225.60 ÷ 2 = $1,612.80
Per traveler per day: 3225.60 ÷ (2 × 8) = $201.60
Largest category: lodging at $1,200.00

Example 2: the editorial one-week trip
The calculator page walks a different week. Two people, seven days, 10% buffer.
- transport: $700
- lodging: $1,400
- food: $600
- activities: $400
- insurance: $120

Seven days instead of eight, and a higher lodging line, is why the daily number jumps from $201.60 to $253.00. The buffer is also two points lower, so it does not close that gap.
Example 3: a solo weekend
One person, three days, no insurance, 10% buffer.
- transport: $180
- lodging: $280
- food: $160
- activities: $80
- insurance: $0
Planned: 180 + 280 + 160 + 80 + 0 = $700.00
Buffer: $70.00
Trip budget: $770.00
Per traveler: $770.00
Per traveler per day: $256.67
Largest category: lodging at $280.00
$770 is a small pile next to $3,225.60. The daily figure is not. Three days of lodging and food, paid by one person, sit near the default’s $201.60 per person per day.
Example 4: four people, ten days
A family-sized path. 15% buffer.
- transport: $1,400
- lodging: $2,800
- food: $1,400
- activities: $800
- insurance: $240
- travelers: 4
- days: 10
Planned: 1400 + 2800 + 1400 + 800 + 240 = $6,640.00
Buffer: 6640 × 0.15 = $996.00
Trip budget: $7,636.00
Per traveler: $1,909.00
Per traveler per day: $190.90
Largest category: lodging at $2,800.00
The group total looks huge. Split four ways over ten days, each person is under the default’s $201.60 daily figure. Sharing the rooms is what did that.
Example 5: what if I change only the buffer
Hold the $2,880 default lines, two people, eight days. Change the buffer field.
- 0%: total $2,880.00. Per traveler $1,440.00. Per traveler per day $180.00.
- 5%: total $3,024.00. Buffer $144.00. Per traveler $1,512.00. Daily $189.00.
- 10%: total $3,168.00. Buffer $288.00. Per traveler $1,584.00. Daily $198.00.
- 12% (default): total $3,225.60. Buffer $345.60. Per traveler $1,612.80. Daily $201.60.
- 15%: total $3,312.00. Buffer $432.00. Per traveler $1,656.00. Daily $207.00.
- 20%: total $3,456.00. Buffer $576.00. Per traveler $1,728.00. Daily $216.00.

| 20% | $3.5k |
A 0% buffer prints $2,880.
12% is $3,225.60. 20% is $3,456.
The planned lines never moved. The 20% path is $576 above the 0% path, which is 2880 × 0.20.
Example 6: the common mistake, leaving the buffer at 0%
People add the five quotes and stop. That is the 0% row: $2,880.00.
The tool’s own copy says to add the buffer after the base costs, not instead of estimating them. A $40 bag fee, a $90 restaurant you forgot, and a $30 airport train already spend $160. That is more than the 5% buffer of $144, and it is still under the default $345.60.
I would leave 12% in the box until the quotes are real tickets. Then I would shrink the buffer only by the costs I already locked.
Example 7: dropping insurance, or raising only lodging
Hold everything else at the defaults.
Insurance $0: planned $2,760.00. Buffer $331.20. Total $3,091.20. Per traveler $1,545.60. Daily $193.20.
That is $134.40 cheaper than $3,225.60. You did not find a cheaper hotel. You removed a $120 line and the 12% that sat on it (120 × 1.12 = $134.40).
Lodging $2,200, insurance back at $120: planned $3,880.00. Buffer $465.60. Total $4,345.60. Per traveler $2,172.80. Daily $271.60.
The extra $1,000 of lodging becomes $1,120 after the buffer. $4,345.60 − $3,225.60 = $1,120.00.

| No insurance | $3.1k |
| Default | $3.2k |
| $2,200 lodging | $4.3k |
No insurance prints $3,091.20.
The $1,200 lodging default is $3,225.60. Lodging at $2,200 is $4,345.60.
Example 8: one traveler, or a four-day version of the same pile
The default total does not care how many people you type. Travelers and days only change the share.
One traveler, same $2,880 and 12%: total still $3,225.60. Per traveler $3,225.60. Daily $403.20.
Four days, two people, same dollars: total still $3,225.60. Per traveler $1,612.80. Daily $403.20.
Shortening the trip without shrinking lodging or transport doubles the daily figure. The rooms and the flights did not get cheaper. The divisor did.
Three travelers on the default pile: $1,075.20 each, $134.40 a day.
Four travelers: $806.40 each, $100.80 a day.

| Category | Per traveler |
|---|---|
| 1 person | $3.2k |
| 2 people | $1.6k |
| 3 people | $1.1k |
| 4 people | $806 |
One person carries the full $3,225.60.
Two people pay $1,612.80 each. Four people pay $806.40.
Example 9: a GSA-style ceiling next to the vacation default
GSA’s standard CONUS pair for FY 2026 is $110 lodging and $68 meals and incidental expenses. First and last travel days use 75% of M&IE, which GSA lists as $51 on the $68 row.
Labeled 8-day, 7-night, one-person path, 0% buffer:
- transport: $650 (same default ticket pile)
- lodging: 7 × 110 = $770
- food: 51 + 6 × 68 + 51 = $510
- activities: $0
- insurance: $0
Planned and total: 650 + 770 + 510 = $1,930.00
Per day: $241.25
That $1,930 is a reimbursement ceiling with no activities and no insurance. The vacation default is $3,225.60 for two people because it books $1,200 of lodging, $350 of activities, and $120 of insurance, then lifts the pile 12%. GSA per diem is also location-specific. High-cost cities sit above $110 and $68.
The $110 lodging line is before tax. Put the same $110 for seven nights into the hotel total cost calculator at the default 14% lodging tax, no resort fee, no one-time fee: $877.80, or $125.40 a night. The extra $107.80 is tax. The trip tool will not invent that tax unless you type it into the lodging box.
Turn the total into a daily spending cap
Once the flights and the rooms are paid, the useful number is what is left each day. The daily travel budget calculator uses:
(total − fixed costs − reserve) ÷ days
Then it splits that daily leftover across travelers.
Map the $3,225.60 default onto it. Treat transport + lodging + insurance as already committed: 650 + 1200 + 120 = $1,970. Put the $345.60 buffer in the reserve box.
- total: $3,225.60
- fixed: $1,970
- days: 8
- travelers: 2
- reserve: $345.60
Flexible money: 3225.60 − 1970 − 345.60 = $910.00
Available per day: 910 ÷ 8 = $113.75
Per traveler per day: $56.87
Per meal at 3 / day: $37.92

$56.87 is the food-and-activities leftover after the booked lines and the reserve. It is not the $201.60 all-in figure from the trip tool. That $201.60 still includes a share of the flights and the rooms.
The daily tool’s own defaults ($3,200 total, $2,100 fixed, $250 reserve, 8 days, 2 people) print $106.25 a day and $53.13 per traveler. Close to this mapping, different inputs.
If the hotel quote is the hotel stay total default of $1,211.00, put $1,211 in lodging and keep the other default trip lines.
Planned: 650 + 1211 + 560 + 350 + 120 = $2,891.00
Trip budget: 2891 × 1.12 = $3,237.92
That is $12.32 above $3,225.60. The extra $11 of lodging, plus 12% of $11, is the whole gap.
Saving the pile before you go
The CFPB savings plan worksheet is target divided by months. No interest in that table.
$3,225.60 over 12 months is $268.80 a month. Over 6 months it is $537.60. Over 3 months it is $1,075.20.
The savings goal timeline post compounds a monthly deposit. Use that when the money sits in an account that earns a return. For a trip six months out, the worksheet’s straight division is the honest version.
A wedding savings plan is the same shape with a guest divisor. A trip uses travelers and days.
Fuel is one slice of transport. The road trip fuel default is $111.96 for 850 km. If that is the whole drive, the $650 transport box is still holding flights, trains, or a rental on top of the tank.

Open the trip budget calculator with the quotes you actually have. Type the people who pay. Leave a buffer on until those quotes are tickets. If the rooms are booked, move leftover cash into the daily travel budget calculator so the $113.75 a day is the number you spend, not the $3,225.60 you already committed.
